Privacy Policy

This Privacy Policy explains how ClaritasVentures, LLC (“Claritas Ventures,” “we,” “us”) collects, uses, and shares information when you use the CredentialVault mobile application and related services (the “App”). CredentialVault helps registered nurses and advanced practice registered nurses keep track of their professional licenses, certifications, and continuing education (CE).

1. Information we collect

Information you provide

• Account information. Your name and email address, handled through our authentication provider when you create or sign in to your account.
• Credential and CE records. Details you enter about your licenses and certifications (such as type, number, issuing authority, status, and expiration dates) and your continuing education (course titles, dates, contact hours or points, and subject categories).
• Practice details. Your profession and specialty, and practice facts you choose to provide — for example, whether you prescribe controlled substances or care for older adults. We use these solely to determine which CE requirements apply to you.
• Documents. Photos or PDFs of licenses, certificates, and CE completion records that you capture with your camera, upload from your photo library, or send to your personal inbound email address within the App. We process these to extract the information that populates your records.
• Curriculum vitae (CV) information. Work history, education, publications, and related professional information you enter to generate a CV.
• Credentialing details for forms. Information used to fill standardized credentialing applications — for example, your date of birth, identifiers such as NPI or DEA numbers, work history, and hospital affiliations. A completed application may call for a Social Security number; as described in Section 3, we do not store one.
• Your own immunization records. If you choose to track them for onboarding paperwork, records of your professional immunizations (such as vaccination dates). These are your records; the App is not used for patient or clinical health information.

Information collected automatically

• Device and technical data. A push-notification token (so we can send you renewal reminders), app version, device type, and basic log data needed to operate and secure the service.

2. How we use your information

• Provide the App: store and organize your credentials, show you where you stand against continuing-education requirements, and send renewal reminders.
• Process documents you submit to extract credential and CE details.
• Generate a CV from the professional information you provide.
• Authenticate you and keep your account secure.
• Communicate with you about the service and respond to support requests.
• Maintain, troubleshoot, and improve the App, and comply with legal obligations.

3. How documents and text are processed

To read your uploaded documents and to generate CV and form text, we use a third-party artificial-intelligence provider (Anthropic, the maker of Claude) that processes the content you submit on our behalf and returns the extracted or generated result. This content is sent only when you use a feature that requires it, is processed under contract solely to provide that feature, and is not used to train that provider’s models.

Social Security numbers. A completed credentialing application can call for a Social Security number. CredentialVault does not store your Social Security number and has no field for it: where a form requires one, the box is left blank for you to supply at the electronic-signature step, and our document reader is instructed never to extract it.

Files uploaded only to be read. When you upload a document solely so we can read its contents into your records — for example, importing a completed application — we delete that uploaded file from our storage once it has been read.

4. Service providers and sharing

We share information only with vendors who process it on our behalf to run the App, and only as needed for that purpose. These currently include:

• Authentication — Clerk (sign-in and account identity).
• Cloud hosting — Vercel (application hosting).
• Database — Neon (encrypted database storage).
• Document storage — Cloudflare R2 (encrypted file storage for the documents you upload).
• Document & text processing — Anthropic (AI extraction, CV and form generation).
• Email delivery — Resend (sending the credentialing packets you choose to send, and receiving documents you email to your personal inbound address).
• Notifications & app delivery — Expo / EAS (push notifications and app updates).
• App distribution — Apple (App Store and TestFlight) and Google (Google Play).

Sending at your direction. The App can email a credentialing packet — including the documents you select — to a recipient you choose, such as an employer or a credentialing office. That transfer happens only when you initiate it and only to the address you enter.

We may also disclose information if required by law, to enforce our terms, or to protect the rights, safety, and security of our users or others. If we are involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We do not sell your personal information.

5. Data retention

We keep your information while your account is active and as needed to provide the App. You can delete individual records within the App, and you can request deletion of your account and associated data by contacting us. We will delete or de-identify your information within a reasonable period, except where we are required to retain it to comply with legal obligations, resolve disputes, or enforce our agreements. Documents you upload solely for one-time reading (for example, a completed application you import) are deleted once they have been processed, and we do not store Social Security numbers at any point.

6. Security

We use reasonable technical and organizational measures to protect your information, including encryption in transit and access controls. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

7. Your choices and rights

• Access, correct, or delete. You can view and edit your records in the App, or contact us to access, correct, or delete your information or account.
• Push notifications. You can turn reminders off at any time in your device settings.
• State privacy rights. Depending on where you live (for example, California and other U.S. states with privacy laws), you may have rights to access, correct, delete, or obtain a copy of your personal information, and to not be discriminated against for exercising them. We do not sell personal information or use it for cross-context behavioral advertising. To exercise any right, contact us using the details below.

8. Children

The App is intended for licensed professionals and is not directed to, or intended for use by, anyone under 18. We do not knowingly collect information from children.

9. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above, and for material changes we will provide additional notice where appropriate. Your continued use of the App after an update means you accept the revised policy.
